TERMS &
CONDITIONS OF COACH HIRE
Quotations
• Quotation - subject to availability of coaches.
• Quotations are valid for 30 days from date of
request
• Quotation excludes all entrance fees, guide,
driver's meals + accommodation
• Quotation includes : Services of a professional
driver; diesel; toll fees (only within South
Africa); passenger liability insurance
• Prices are subject to change without notice.
• Fuel levies may be added should fuel price
increase unexpectedly. Fuel levies will fluctuate
with diesel price
Confirmations
• To Confirm a booking quotation needs to be signed
and faxed/emailed back to us
• 20% deposit will secure your booking
Invoices/Payments
• Full amount to be paid BEFORE THE COACH DEPARTS

• Person who books the coach is liable in person for
the payment thereof
• All required information for invoices must be
supplied on confirming the coach ie. VAT number;
postal address; accounts person responsible etc
• RD Cheques : Person/company booking the coach is
liable for bank charges as well as lawyer fees
incurred in the collection of the money
• Preferred payment method is by Electronic Funds
Transfer (EFT)
• Should payment be made by a cheque it needs to be
paid 10 days prior to commencement to ensure
clearance thereof
Cancellations/Refunds
• Cancellations must be in writing
• If you cancel within 30 days of trip, you will be
held liable for a 20% cancellation fee.
• Cancellation within seven (7) days of trip full
amount will be levied.
• Full cancellation fee once the coach has left the
depot
• Refunds will be at the discretion of Coachman
management
• Bank charges will be levied on refunded amounts
Coaches
• We do NOT allow any sticker branding on our
coaches
• Should there be any damages to our coaches due to
passengers on board eg broken/torn seats; curtains
off rails, broken toilet doors the person/company
who booked the coach will be held liable for
replacement/repair
• Any bodily excretions left on the coach by the
passengers will be cleaned and an invoice will be
sent the person/company who booked the coach
Drivers
• Driver's meals (breakfast, lunch & dinner daily)
and accommodation (single room) are for you to
arrange and pay for
• Driver's must also get meals whilst they are
traveling on the road en-route to destination
• Please advise Coachman office where the driver's
accommodation has been booked
General
• NO smoking is allowed on board.
• No alcohol is allowed to be consumed on board
• All relevant information pertaining to the trip ie
time and address of collection; destination address,
name and cell number of contact person and maps must
be sent to our office timeously
• Coachman is not liable for any incorrect details
supplied to us by the client resulting in delays or
complaints from the passengers
• Extra services not on the itinerary will be
charged accordingly
• We do not collect/deliver guides unless under
prior arrangement when included in the quote
• If a coach has been booked for only a transfer and
the coach is delayed at the pick up by more than two
(2) hours a surcharge will be levied
• Should there be more than one (1) pick up point
and we were not advised thereof to include in
quotation an extra charge will be made
